Position Summary:
The Records Specialist is responsible for data entry and maintenance of records in Portland State’s constituent database, including demographic and engagement data. This position is also responsible for supervising multiple student workers who are performing database updates. The Records Specialist has key responsibility for ensuring data integrity, data entry efficiency, and that records update and maintenance processes align with and support fundraising and constituent relations processes. This position reports to the Systems Analyst.


Minimum Qualifications:
  • Minimum of two years experience with computer systems and the Microsoft Office suite of products.
  • Familiarity with relational databases.
  • Excellent computer skills, highly accurate keyboarding, and ability to learn and adapt quickly to new software.
  • Strong proofreading, spelling and editing skills and attention to detail.
  • Knowledge of Internet research techniques.
  • Flexible and self-directed.
  • Strong organizational skills and ability to prioritize projects.
  • Strong interpersonal skills and ability to work in a team with diverse individuals.
  • High school diploma or equivalent.
  • Ability to successfully complete a background check.

Preferred Qualifications:
  • Experience in a fundraising office and/or higher education administration.
  • Experience with Agilon’s ONE database.
  • Supervisory experience.
  • Bachelor’s degree.
  • Deep appreciation for the mission of Portland State University.
